How to get consistent team headshots without a group photoshoot
Pick one approved headshot as the template, with the backdrop, outfit, crop and light you want. Then swap each team member's own head onto a copy of it, using a clear photo they send. Headloom rebuilds the face and hair together, so every headshot on the team page matches, and new hires match on day one.
The problem: a team page that doesn't match
A head swap can make a team page look like one shoot even when it wasn't. Most team pages grow one photo at a time: an office shoot three years ago, a home-office selfie, a conference photo with a lanyard. One manager described it as "so inconsistent it looks unprofessional". Remote teams can't all get to one photographer, and new hires join between shoots.
AI headshot generators fix the style but invent a new version of each person, and some people don't recognise themselves. A swap keeps each person's own face and only borrows the setting.
The template idea
Choose one approved headshot as the template: the backdrop colour, the crop, the light and the outfit you want on the page. It can be a photo of a team member who has agreed, shot once with care.
Then, for each person, swap their own head onto a copy of the template, using a clear photo they send. The face, hairline and hair are rebuilt together from their photo. It does not keep the original hair. The template's backdrop, crop, outfit and light stay as shot.
Steps
- Make the template. One well-lit headshot, plain backdrop, a neutral top that suits everyone, head-and-shoulders crop.
- Collect photos. Ask each person for a clear, front-facing photo in soft light, with both eyes visible. A phone photo by a window works.
- Swap. Upload the template and one person's photo. About a minute later, including the safety check, you get their headshot in the template.
- Repeat for each person, and for each new hire when they join.
Results come back in high resolution, with no pixel shift, so every headshot crops the same way.
Where it fits, and where it doesn't
Fits:
- Team and about pages, speaker pages, staff directories.
- Small firms where everyone works remotely.
- Adding a new hire so their photo matches the rest on day one.
Doesn't fit:
- Adding a person into an existing group photo. Headloom works on one person per photo.
- Changing someone's expression in their own photo.
- Very different body types or skin showing at the neckline compared with the template. Use two or three templates if the team needs them.
Consent first
Only swap a person's own photo, sent with their agreement, onto the template. Every swap on Headloom asks you to confirm that. Don't put a former employee's face on the page after they leave, and don't put anyone's face on a template without asking. This is general information, not legal advice.
Uploads are deleted within 24 hours of upload and results within 24 hours of being made. We never use photos or results to train AI models. The details are on the responsible use page.

Questions
How do I make team headshots look consistent?
Use one template photo for backdrop, outfit, crop and light, then swap each person's own head onto it.
Whose photo goes into the swap?
Each person's own clear, front-facing photo, sent with their agreement. Headloom asks you to confirm consent on every swap.
Does it keep each person's hair?
The hair is rebuilt from the photo each person sends, together with the face. It does not keep the original hair.
Will the template outfit change?
No. Only the head region changes. The outfit, crop, backdrop and light stay as shot, in high resolution, with no pixel shift.
Can I add a new hire into an existing group photo?
Not as one step. Headloom works on one person per photo. Individual headshots in one template are the job it fits.
